Media Cost Administrator

The Billing Coordinator (Media Cost Administrator) plays a crucial role in ensuring the accuracy and efficiency of our monthly billing cycles by managing high volumes of invoices and documents. This position requires exceptional attention to detail, strong organizational skills, and the ability to meet tight deadlines. While part of the accounting department, prior traditional accounting experience is not required—rather, a proactive, reliable, and inquisitive approach is key to success. This role is ideal for a dedicated professional with administrative experience who takes pride in their work ethic and thrives in a fast-paced, detail-oriented environment.
Responsibilities
• File media vendor invoices (hard copies and electronic)
• Assist with EDI invoicing system
• Reconcile vendor invoices to internal purchasing/planning software
• Create Excel spreadsheet to manage vendor contacts
• Call vendors for missing invoices
• Assist with month-end scanning of billing folders
• Maintain internal billing files
• Assist with other projects and assignments as required
Qualifications
• At least two years of professional experience
• Ability to learn new technology and processes quickly
• Proficient in Excel
• Proactive; strong ability to work independently
• Excellent attention to detail
• Highly organized with superior multi-tasking skills
• Experience working to tight deadlines; sense of urgency
• Ability to communicate with clients, vendors, and colleagues effectively and professionally
• Must be able to work onsite in Irvington, NY, three (3) days per week.
Benefits
• Base salary $45,000 to $55,000 annually, commensurate with experience
• Hybrid office – minimum of three (3) days per week on site in Irvington, NY.
• Medical (UHC), dental (MetLife), and vision (VSP) insurance – eligible the first of the month after the date of hire.
• PTO Package: 15 Vacation days, 10 Sick days, 3 Personal days (prorated based on start date in • the first year); 15 paid holidays in a calendar year.
• 401(k) eligible after 90 days. All eligible employees receive a profit-share contribution at the end of the fiscal year.
